City of Portsmouth College has been formed by the merger of Portsmouth College and Highbury College and was formally constituted on 1 August 2021.

The newly formed College will give students of all ages even greater flexibility with their programmes and access to dedicated subject facilities at the different campus locations. The joint organisation will also expand a uniquely flexible curriculum offer within the city of Portsmouth, comprising A Levels, vocational diplomas, apprenticeships and higher education qualifications.

Job Title:              Apprenticeship Academy Administrator

Hours:                  37 hours, 52 weeks per year

Contract:             Permanent

Salary:                 £17,611.37

The Apprenticeship Academy Administrator is responsible to the Internal Process Manager for providing  administration support for the Commercial & Employer Services Team. Some of roles are responsibilities are:

  • Provide initial point of contact for Apprentices and Employers for general internal and external telephone, e-mail and face to face enquiries and administration queries. 
  • To support the Commercial & Employer Services Team with any administrative duties 
  • To support with the monthly data checks, liaising with other internal departments to ensure all data is correct  
  • Provision of clerical and administrative assistance for the effective operation of the Department.  Including producing letters, absence reports, student data, setting up course codes, mail shots and the distribution of marketing materials 
  • Assisting with Curriculum Planning 
  • To attend any essential departmental and college meetings, such as Assessor meetings by taking minutes. 
  • To maintain a current knowledge of Apprenticeship funding and administration  
  • To support with the monitoring all Apprentices’ & Students’ progress by generating reports 
  • To support with the monitoring of the completion of progress reviews and Off the Job records  
  • To support with the administrator duties of Smart Assessor & OneFile 
  • To support with any quality assurance visits, such as External Verifier Visits. 


The role requires an individual who has well developed organisational, communication and team working skills. They must also be able to meet targets and deadlines. The role is for 37 hours per week, 52 weeks per year

  • You will need GCSE English & Maths Grade 4/C or above 
  • Experience and an understanding of business processes and administration 
  • Good communication skills (written and verbal) 
  • Full Driving Licence 
  • Level 3 Business Administration Qualification Is desirable
  • Be flexible and self-motivated with a dedication to student achievement and quality.
